VISTA PROGRAM SUPERVISOR
POSITION DESCRIPTION

Position Summary

The VISTA Program Supervisor (Supervisor) has overall responsibility for managing VISTA resources and providing the support necessary to achieve project goals. This will include a broad range of
responsibilities for planning and coordinating all aspects of the relationship between participating
non-profit partners, VISTA members, and CNCS. The Supervisor plays a key role in the success of
the project. He/she will report directly to the Deputy Director of the Greater Englewood
Community Development Corporation (GECDC).

Key Responsibilities

1. VISTA Member Recruitment: The Supervisor, in conjunction with participating partners, is responsible for recruiting qualified and committed VISTA members to fill the VISTA positions.

Responsibilities include:

Planning – Determine required skills, draft clear position description(s) and develop a recruitment timeline and strategy
Marketing – Advertise and publicize the open position(s)
Screening – Manage applications, conduct initial screening to identify committed and qualified applicants
Interviewing – Get to know top applicants and assess their fit for the position(s)
Selecting – Make recommendation(s) to participating partners, and the GECDC.

2. Pre-Member Deployment Services: Prior to the arrival on site of selected VISTA members, the

Supervisor will:

• Consult with participating organizations to refine the existing preliminary position summaries into more detailed descriptions or VADS (VISTA Assignment Descriptions) for each incoming member
• Prepare preliminary monitoring and reporting templates to serve as the basis for consolidated performance reporting.
• Design a on-site orientation program for the incoming members to include: partner profiles
and introductions; community tour; review of policies/procedures; review of expectations,
roles and responsibilities; and introduction to all staff, community partners, and community
leaders.

3. Orientation Program: Upon the arrival on site of the VISTA members, the Supervisor will:

• Make all logistical arrangements for the orientation program, including arranging a venue,
speakers, invitation, etc.
• Coordinate and facilitate the implementation of the orientation program for VISTA
• Members and participating partners

4. Workplan Development: Within the first 30 days of members’ deployment, the Supervisor will
oversee the development of individual member workplans with participating organizations.

5. Monitoring & Reporting: The Supervisor is responsible for monitoring of progress to assess how
well the VISTA program is being implemented and the extent to which it is on track to achieve
goals, to include:

• Refinement of monitoring and reporting templates to be used by participating organizations.
• Training participating organizations on reporting requirements and use of templates
• Timely preparation of quarterly progress reports, GECDC, to CNCS.
• Brief written monthly report to the GECDC and CNCS that provides information on
accomplishments (possibly for congressional office updates and press releases)
• Preparation of annual reports.

6. Partner Communication & Coordination: The Supervisor will be responsible for regular, on-going
communication with partner organizations, including:

• Conducting no less than one site visit monthly with each participating partner.
• Coordinating quarterly participating partner roundtables to discuss program issues,successes, and challenges.
• Coordinating site visits by CNCS office staff to exchanging information; ensure compliance with general administrative, financial, and program requirements; provide technical assistance and guidance as needed; and assist with project promotion.

7. VISTA Member Support:

• Coordinating monthly individual or team VISTA member meetings to support members in
their service assignment.
• Identifying training needs and opportunities that would help ensure the success of
members over the course of their assignments and oversee the members’ participation in
such training activities.
• Ensuring VISTA members are receiving the in-kind support committed by participating partners.

Educational Requirements

• Bachelor’s Degree in Business, Social Work or related field

Experience Required

• Demonstrated passion for improving lives and strengthening communities.
• Demonstrated ability to recruit, establish and maintain excellent working relationships with all levels of staff of a diverse non-profit universe, volunteers, donors, and community partners.
• Demonstrated superior skills in customer service, problem solving, conflict resolution, team building, and time management.
• Strong organizational, planning and coordination abilities.
• Ability to write reports, press releases, and to effectively present information and respond to questions from managers, donors, customers, volunteers and the press.
• Ability to maintain the confidentiality of sensitive information.
• Familiarity with performance management and monitoring/evaluation systems.
• Proficiency with Microsoft Suite (Word, Excel, Outlook, PowerPoint).
